Position Overview:

The Senior Clerk performs a variety of clerical and administrative support duties requiring experience, independent judgment, and attention to detail. The position handles more complex clerical tasks, maintains records and reports, processes financial and administrative documents, communicates with the public and staff, and may provide direction or supervision to other clerical employees. The Senior Clerk works under the direction and review of an immediate supervisor while exercising independent decision-making within established policies and procedures.

Key Responsibilities:

  • Prepare and maintain records, inventories, reports, registers, and other office documents.
  • Review reports and records for accuracy, completeness, and proper calculations.
  • Process, sort, index, record, and file control records and reports.
  • Process, code, and file requisitions, claims, vouchers, bills, receipts, and other financial documents.
  • Prepare routine correspondence involving established policies and procedures.
  • Order office materials and supplies as needed.
  • Collect, compile, and organize statistics and other administrative information.
  • Operate computers, calculators, copiers, fax machines, and other office equipment.
  • Answer telephone calls, provide general information, and assist with switchboard responsibilities.
  • Collect fees and account for monies received when assigned.
  • Issue and maintain records of applications, licenses, and permits when assigned.
  • Provide assistance and routine information to members of the public.
  • Assign work, review completed work, and train new employees in specialized clerical procedures when assigned.
  • Perform other related duties as required.

Key Qualifications:

Minimum Qualifications

  • Option A: Associate's Degree from a regionally accredited or New York State registered college or university in secretarial science, word processing, office technologies, office management, or a closely related field; or
  • Option B: High school graduation or high school equivalency diploma and two years of clerical experience; or
  • Option C: Four years of qualifying clerical experience.

Required Knowledge, Skills, and Abilities

  • Good knowledge of office terminology, procedures, and equipment.
  • Good knowledge of business arithmetic and English.
  • Knowledge of laws, ordinances, rules, and regulations applicable to the assigned position.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with employees and the general public.
  • Ability to supervise and provide direction to other employees when required.
  • Strong clerical aptitude and attention to detail.
